The Affiliate Program allows you to partner with external resellers — such as travel agencies, tour aggregators, or local businesses — who sell your products on your behalf, in exchange for a commission. You can manage your Affiliates, set commission rates, and track all Affiliate-generated bookings directly from your dashboard.
1. Getting Started: Creating an Affiliate Account
To start working with an Affiliate partner, you must first create an account for them. To do this, follow the steps below:
1.1. Navigate to Settings > Affiliate Management in the sidebar.
1.2. Click the Add Affiliate Account button in the top-right corner.
1.3. Fill in the required information:
- Affiliate Name*: The company or business name of your Affiliate partner (e.g., "City Tours Express").
- Email**: The email address your Affiliate will use to log in and receive notifications.
- First & Last Name: The name of the contact person at the Affiliate company.
- Commission Rate (%): The percentage of each booking's gross revenue (total amount including VAT) that the Affiliate will earn as commission.
1.4. Under Grant this user access to sell the following offers, choose whether to give them access to all of your products or only a specific selection.
1.5. Click Save to finish.
* The Affiliate name can’t be changed after creation. Since the name will be used as Sub-ID in other parts of the system, it has to remain the same.
** An email can only be used once, like for Multi-User. If you need multiple Affiliate Accounts or a Multi-User + Affiliate Account, different emails have to be used.
Once created, the Affiliate will appear in your Affiliates list, where you can edit their details, contact them via email, or remove their account at any time.
The Affiliate will receive an email to complete the registration and set up a password. The process is the same as for Multi-Users.
2. Managing Your Affiliates
Your Affiliates page gives you a complete overview of all your Affiliate partners. The table displays:
- Name - The contact person's full name.
- Email Address - The Affiliate's registered email.
- Affiliate Name - The company or business name.
- Commission - The agreed commission rate shown as a percentage.
From the Actions column, you can:
- Edit the Affiliate's details (pencil icon).
- Resend the invite email to the Affiliate (envelope icon).
- Delete the Affiliate account (trash icon).
3. Tracking Affiliate Bookings in Your Booking Overview
All bookings — including those generated by your Affiliates — appear in your main Booking Overview. You do not need to check a separate page to see Affiliate sales.
Affiliate bookings are easy to identify, as they are highlighted with a light blue background in the table.
- The Sales Channel column shows the Affiliate's company name instead of a generic channel like "POS" or "Online".
- Below the Affiliate name, you will see the commission amount (e.g. EUR 45.00) and the commission rate (e.g. 15% comm), so you always know exactly how much commission applies to each booking.
You can use the search bar to find specific bookings by booking number, buyer name, or email address. You can also use the Affiliates Filter.
4. The Affiliate's View: How Your Affiliates See Their Bookings
4.1. Bookings Overview:
Each Affiliate has their own booking list, where they can view and manage the bookings they have created. The bookings list includes the same information like the other ones, including the commissions per booking.
4.2. Bookings List Export:
In the export, the columns are structured to be as easy to use as possible. The commissions are listed separately, to enable Affiliates to perform their Excel calculations smoothly.
4.3. Booking Detail Page:
The Booking Detail Page for the Affiliate is designed to show only basic information and no actions that belong to you, as an operator.
5. How can Affiliates place Bookings?
5.1. Via Dashboard POS/Add Booking Flow
They can use the dashboard POS to place bookings, but without the possibility to Adjust Prices or create new timeslots based on the Products they've got access to.
5.2. Via Website
The Affiliate accounts have access to the Widget Editor to create widgets for their website. With a set Sub-ID (the Affiliate name), you as an Operator will always know if a booking came from them.
Note:
In the future, the Affiliate will only be able to create Widgets for the Products they are assigned to.
6. How Is Commission Calculated?
Commission is calculated on the gross revenue of each booking, which is the total booking amount including VAT:
Commission Amount = Total Booking Amount x Commission Rate / 100
For example, if a booking totals EUR 300.00 and the Affiliate's commission rate is 15%, the commission earned is EUR 45.00.
Notes:
- If a Booking gets cancelled, we will recalculate the commission. It will be always based on the confirmed bookings.
-
The commission will be calculated taking any discount code into account, if applicable. For example, if a ticket costs €10 and a 10% discount is applied, the commission (10%) will be €0.90.
