The Viator integration connects your Regiondo offers to Viator so that availabilities, bookings, and cancellations are exchanged automatically between the two systems. Setting up the integration requires three stages: connecting your Viator account in Regiondo, mapping your ticket categories, and connecting each offer inside Viator.
What the Viator integration synchronizes
The Viator integration allows the exchange of the following offer and booking information:
- Availability
- Reservations
- Bookings
- Cancellations
- Pricing
Your available dates are synchronized in real time between Regiondo and Viator. This prevents overbookings and removes the need to adjust capacities manually.
What the Viator integration does not support
| Not supported | Detail |
|---|---|
| Availability exchange for manual-approval offers | Offers that require manual booking approval, or that are set to "no appointment needed", do not exchange availabilities. |
| Passenger number changes | Changes to the number of passengers are not supported by the API and must be handled manually. |
| Booking amendments other than date changes | Only date changes are supported. When a booking date is changed in Viator, the updated appointment date is synchronized to Regiondo automatically after validation. |
| Capacity changes on existing bookings | See section below: How to cancel a Viator booking |
Fees for Viator bookings
Regiondo charges a ticket fee for bookings generated through Viator. The applicable fee is specified in your agreement with Regiondo. No payment fees apply, because all payments are processed by Viator.
Before you start
- You need an active Viator account with your offers set up. If you do not have an account yet, register on the Viator Sign Up page.
- Each Regiondo account can be connected to one Viator account only. If you have multiple Viator accounts, you need a separate Regiondo account connected to the Channel Manager for each one.
1. Connect your Viator account in Regiondo
1.1. In your Regiondo Dashboard, go to Channel Manager > Sales Channels
1.2. Search for Viator, then click the pen button on the right to edit the channel.
1.3. Click Activate Channel.
When you activate the Viator channel, a request to link your Viator and Regiondo accounts is sent to Viator automatically. After Viator processes the request, your Operator ID is populated in the Viator channel settings.
2. Map your Viator tour options to your Regiondo ticket categories
2.1. In the Viator Channel settings, select a Regiondo offer.
2.2. Map each Viator category name to your Regiondo ticket category using the dropdown menu.
2.3. Click Save.
About the available tour options: Regiondo allows you to create as many customized ticket categories as you need. Viator offers only a fixed set of standardized tour options: Adult, Youth, Child, Infant, Senior. Depending on how your Regiondo setup is structured, mapping between the two systems can require some adjustment.
Warning: After you save your mapping, Viator maps their products manually based on the information you configured. This manual process takes time. Viator informs you by email once your offers are connected. Your availabilities are not synchronized until you receive that confirmation email. If you do not hear from Viator within three weeks, contact your Viator destination manager directly.
3. Connect your offers in Viator
3.1. Create your offer in Viator
Create the product in your Viator Supplier Management Center before connecting it to Regiondo. Viator must review and approve the product first — only live, approved products can be connected.
3.2. Select the offer you want to link to Regiondo
You can only select live products, so confirm that Viator has approved the offer before starting the connection. Click Manage to edit your product.
3.3. Connect your Viator availabilities to your Regiondo offer
- Go to Product connection and click Connect.
- Choose your Regiondo offer to create the product mapping.
- Edit each of your chosen availabilities and connect them to the matching availabilities in Regiondo.
3.4. Save and submit the data to Viator
Saving and submitting finalizes the API connection for that offer. After Viator's review, your offer becomes available on Viator.
How Viator bookings appear in Regiondo
Once your offers are connected, all bookings placed on Viator appear in your Regiondo Dashboard automatically. Regiondo also sends you an email each time a new booking is placed on Viator.
You can view all bookings, regardless of sales channel, in Booking Overview in your Regiondo account. On the booking page, you can retrieve your customer's booking information as usual.
Guest contact details: Viator provides the guest's mobile phone number, but not an email address.
How to enable ticket scanning for Viator bookings
All Viator tickets can be scanned using the Regiondo app. To ensure this works correctly, enable the following setting in your Viator account:
Products > [select your product] > Tickets > Ticket redemption > Special instructions > Barcode from reservation system = Yes
How often availabilities are fetched
How often availabilities are fetched depends on each operator's Viator setup. In most cases, Viator fetches batch availabilities every 12 hours. To check or change your fetch frequency, contact your Viator account manager.
How to cancel a Viator booking
Cancel Viator bookings in your Viator account, not in Regiondo.
- Log in to your Viator account.
- Go to the Bookings section and locate the booking you want to cancel.
- Open the booking details and click Cancel Booking.
- Review the cancellation terms and follow the on-screen instructions to confirm the cancellation.
Capacity changes on existing bookings
Viator's booking amendment functionality does not support changes to the capacity of a booking. You can cancel a booking, but you cannot adjust its capacity through Viator's system.
If you need to change the capacity of a booking, refund and rebook it from the Viator platform.
Cancellations after the event date
If a booking is cancelled in Viator after the event date has passed, Viator processes it as a refund rather than a cancellation. In this case, the booking status in Regiondo is not updated automatically and remains unchanged. This is uncommon, but if it happens, contact the Regiondo Support team at support@regiondo.com to have the ticket or tickets cancelled on the Regiondo side.
